You decide which candidate times fit your real life before inviting others to vote. We offer 4 primary tools tailored for every scheduling scenario:

1. Meeting Poll

Choose multiple candidate time slots (that work for you!) and multiple physical or virtual locations. Send invite links to your participants to collect ranked votes and find the optimal consensus automatically.

2. Quick Poll

Need to pick a time fast? Build an instant lightweight poll in seconds and broadcast a public voting link via email, Slack, or SMS without having to compile an invitee list upfront.

3. Request a Meeting

Let guests ask for a meeting with you just as they would in person. Review incoming requests on your dashboard to accept directly, dismiss, or convert the request into a Meeting Poll to suggest times that fit your calendar.

4. Address Book

Keep track of meeting invitees and enhance their contact cards with home and work physical addresses to plot accurate location markers on the interactive map when picking places to meet.

Step-by-Step Instructions

Start a New Meeting Poll

Click Create Meeting from the top menu or dashboard. Give your meeting a title, optional agenda, and choose duration (e.g. 15m, 30m, 60m, or custom duration).

Add Invitees & Set Roles

Enter invitee emails or mobile numbers. Designate each participant as Required or Optional so our scoring algorithm prioritizes required attendees when calculating consensus.

Select Candidate Times

Use the visual calendar grid to pick multiple candidate date & time slots that fit your schedule. Your connected Outlook or Google Calendar events overlay automatically to avoid personal conflicts.

Suggest Venues or Virtual Links

Add physical locations or select auto-generated virtual meeting rooms (Microsoft Teams, Google Meet, or Zoom Meeting). You can also enable "Allow Write-in Locations".

Send Invites & Track Votes

Click Publish Meeting Poll. Invitees receive secure links to vote in their local timezone. Track live votes on your Meeting View page.

Finalize & Lock Meeting

Once votes are collected, click Finalize Meeting to lock in the winning slot. If a virtual meeting option (Microsoft Teams, Google Meet, or Zoom Meeting) was selected in the "Where" section, a live meeting room link will be automatically generated and attached to calendar invitations (.ics) and emails sent to all participants.

Share Your Public Request Link

Share your personal request page link (e.g. coordinatewith.me/request/<vanity_url>) in your email signature or profiles.

Guest Submits Meeting Request

Requesters open your page, enter contact details, purpose, duration, and select a requested date & time in their local timezone.

Review Details & Conflict Warnings

Inbound requests appear under Meeting Requests on your dashboard. Inspect the request to view proposed times in your local timezone alongside automated calendar conflict warnings.

Take Action: Confirm, Convert, or Dismiss

You have 3 choices for every incoming request:

  • Confirm & Send Invites: If the requested time works, confirm it immediately with one click to lock it in.
  • Convert to Poll / Suggest Times: If the requested time conflicts, click Convert to Poll to create a Meeting Poll prefilled with the requester so you can offer alternative times that work for you.
  • Dismiss Request: Remove requests that are no longer applicable.

Your Address Book automatically saves participants you invite to meetings on CoordinateWith.Me. We never mass-import or overwrite contacts from your connected Google, Microsoft, or Salesforce accounts, keeping your personal directory lean, privacy-focused, and relevant.

Add Physical Addresses & Geocoding

Click Edit on any contact to add their Home or Work street address, city, state, and ZIP. CoordinateWith.Me automatically geocodes these addresses into precise geographic coordinates behind the scenes without changing records in your source calendar or email accounts.

Interactive Map Pinning & Smart Location Suggestions

When building a Meeting Poll, navigating to Step 4 (Where) automatically plots your invitees' home or work locations directly on Google Maps. Timezone Intelligence

Assign specific timezones to individual contacts. When you send meeting invitations, candidate slots automatically convert and render in the invitee's local timezone so there is never scheduling confusion across global teams.

Safe Contact Deletion with Active Poll Alerts

You can remove outdated contacts anytime. If a contact is currently part of an active, open meeting poll, CoordinateWith.Me displays an alert before deletion, reminding you that removing the contact will also withdraw them from the active poll and deactivate their voting link.


Adding the App

CoordinateWith.Me integrates with Zoom to automatically generate virtual meeting rooms when your group schedules an event. Follow these steps to authorize and add the CoordinateWith.Me integration to your Zoom account.

Prerequisites

  • An active CoordinateWith.Me user account.
  • A valid Zoom account (Free, Pro, Business, or Enterprise).

Step-by-Step Setup Guide

  1. Log in to your CoordinateWith.Me account.
  2. Open your user profile dropdown menu in the top-right header toolbar and select My Connected Apps.
  3. On the Zoom Video Communications card, click Connect Zoom Account.
  4. You will be securely redirected to the official Zoom App Marketplace OAuth authorization consent screen.
  5. Review the requested permissions (accessing meeting creation for user-organized meetings) and click Authorize.
  6. Once authorized, you will return to CoordinateWith.Me with a confirmation badge showing Connected.

Usage & Feature Descriptions

CoordinateWith.Me streamlines group scheduling by finding mutually available times and locations. Here is how to use Zoom with CoordinateWith.Me:

Auto-Generated Zoom Meeting Rooms

When creating a new event, select Zoom under the "Online/Virtual" while on the 'Where" tab as one of your proposed locations. Once your group reaches a consensus and the meeting is finalized selecting Zoom as the meeting place, CoordinateWith.Me calls Zoom's API to immediately create a unique, secure Zoom meeting room with a passcode.

Calendar & Email Integration

The generated Zoom join URL and passcode are automatically attached to final confirmation emails and downloadable .ics calendar files sent to all invited attendees.

1-Click Attendee Join

All meeting participants can click the Join Zoom Meeting button directly on the finalized meeting page or invitation email without manually copying meeting IDs or passwords.

Removing the App

You can disconnect or remove the Zoom integration at any time using either of the following two options:

Option A: In-App Disconnect (Recommended) Instant
  1. Log in to CoordinateWith.Me and go to your My Connected Apps page.
  2. Locate the Zoom Video Communications card.
  3. Click Disconnect Zoom Account.
  4. Your Zoom access and refresh tokens will be immediately revoked and cleared from your profile.
Option B: Via Zoom App Marketplace Zoom Portal
  1. Log in to your Zoom account and navigate to the Zoom App Marketplace.
  2. Click Manage >> Added Apps or search for CoordinateWith.Me.
  3. Select the CoordinateWith.Me app.
  4. Click Remove.

Implications of Disconnecting

Disconnecting Zoom prevents CoordinateWith.Me from automatically creating new Zoom meeting rooms for future events. Any Zoom meeting rooms previously created for past finalized events remain active on your Zoom account.

User Data & Account Retention Policy

Important Note on Your Account: Disconnecting Zoom only removes your Zoom OAuth credentials and refresh tokens from CoordinateWith.Me. Your CoordinateWith.Me user account, meeting history, votes, and profile remain 100% intact and are never deleted when disconnecting Zoom.

Upon uninstallation, Zoom dispatches a Compliance Data Deauthorization webhook event to CoordinateWith.Me. Our server automatically processes this signal to revoke and purge all stored Zoom tokens from our database within 24 hours.

Troubleshooting Guide

Issue: "Authorization request failed or timed out"

Solution: Verify that your Zoom account administrator allows third-party app additions if you are on an enterprise plan. Try navigating to My Connected Apps, clicking Disconnect, and authorizing again.

Issue: "Zoom meeting room link missing from finalized meeting"

Solution: Ensure your Zoom integration status shows Connected on your My Connected Apps page prior to finalizing the meeting.

Frequently Asked Questions

Q: Is my Zoom account information safe?

Yes. CoordinateWith.Me uses industry-standard OAuth 2.0 protocol and request encryption. We only request minimum scopes required to generate meeting room links on your behalf.

Q: Do meeting invitees need a Zoom account?

No. Attendees can click the generated Zoom join URL directly from their email invitation or CoordinateWith.Me meeting page to join in their browser or Zoom desktop app.


Connecting Your Microsoft 365 Account

Connecting CoordinateWith.Me to Microsoft 365 allows the platform to generate Microsoft Teams meeting links, overlay your Outlook calendar availability when picking meeting slots, and search your Microsoft contacts.

Prerequisites

  • An active CoordinateWith.Me user account.
  • A valid personal Microsoft account or work/school Microsoft 365 account.

Step-by-Step Setup Guide

  1. Log in to your CoordinateWith.Me account.
  2. Open your user profile dropdown menu and select My Connected Apps.
  3. On the Microsoft 365 / Teams card, click Connect Microsoft Account.
  4. You will be redirected to Microsoft's secure OAuth 2.0 login and permissions page.
  5. Review the requested permissions (Online Meetings, Calendars Read, Contacts Read) and click Accept.
  6. Once authorized, you will return to CoordinateWith.Me with a confirmation badge showing Connected.

Auto-Generated Microsoft Teams Links

When creating a meeting, select Microsoft Teams as one of your venue options under the "Where" section. Upon event finalization, CoordinateWith.Me automatically calls the Microsoft Graph API to provision a unique Teams meeting link and passcode.

Outlook Calendar Overlay & Conflict Detection

When choosing proposed time slots on the interactive visual calendar, your Outlook events overlay in real-time so you avoid double-booking yourself.

IT Administrator Guide: Granting Organization-Wide Approval

When standard users in corporate Microsoft 365 / Entra ID organizations connect their accounts, Microsoft may display a "Need admin approval" notice. This is a standard security default in Microsoft Entra ID requiring an IT administrator to authorize multi-tenant applications once on behalf of the company domain.

How IT Admins Grant Company-Wide Consent (One-Time Setup):
  1. Sign in to the Microsoft Entra Admin Center.
  2. Navigate to Identity > Applications > Enterprise applications.
  3. Select CoordinateWith.Me from the application list.
  4. Under Security in the left menu, click Permissions.
  5. Click the button "Grant admin consent for <Your Organization>" and accept the permissions.

Tip: CoordinateWith.Me is an officially Verified Publisher by Microsoft (identified with the blue checkmark). Once admin consent is granted, all colleagues and employees in your organization domain can connect their Microsoft accounts instantly with a single click.

Disconnecting Microsoft 365

To disconnect, go to your My Connected Apps page and click Disconnect Microsoft Account. Your OAuth tokens will be instantly purged from our database. Your CoordinateWith.Me profile and meeting history remain 100% intact.


Connecting Your Google Workspace Account

Connecting CoordinateWith.Me to Google Workspace allows the platform to generate Google Meet video links, overlay your Google Calendar availability when picking meeting slots, and search your Google Contacts.

  • A valid personal Google account or Google Workspace account.

Auto-Generated Google Meet Room Links

Select Google Meet under the "Where" section during meeting poll creation. When your group reaches consensus and finalizes the meeting, CoordinateWith.Me calls the Google Calendar API to automatically generate a unique Google Meet join link.

IT Administrator Guide: Google Workspace App Authorization

By default, Google Workspace domains and personal Google accounts allow individual users to authorize their Google Calendar and Contacts seamlessly. However, if your enterprise enforces a strict "Block all third-party API access" policy, standard users may see an "Access blocked: Your institution's admin has not authorized this app" message.

How Google Workspace Super Admins Whitelist CoordinateWith.Me:
  1. Sign in to the Google Workspace Admin Console.
  2. Navigate to Security > Access and data control > API controls.
  3. Under the App access control card, click Manage Third-Party App Access.
  4. Click Add app > OAuth App Name or Client ID and search for CoordinateWith.Me.
  5. Select the app and set its access level to Trusted for your organization.

Note: Once marked as trusted, all employees and team members across your Google Workspace domain can connect their Google Calendar, Google Meet, and Contacts with a single click.

Disconnecting Google Workspace

To disconnect, open your My Connected Apps page and click Disconnect Google Account. Tokens will be immediately deleted from our database. Your CoordinateWith.Me profile and meeting history remain 100% intact.


What is Model Context Protocol (MCP)?

The Model Context Protocol (MCP) is an open standard that enables AI assistants (such as Anthropic Claude, Google Antigravity, Cursor, and custom LLM applications) to securely interact with external tools and live data sources.

CoordinateWith.Me provides a built-in MCP server supporting both Streamable HTTP (direct cloud connections via https://coordinatewith.me/mcp) and Local Command (Stdio) execution. Once connected, your AI assistant can view your upcoming polls, create new group voting requests, check responses, manage address book contacts, and finalize meeting consensus.

Generating Your MCP Client ID & Secret

To authenticate your AI assistant with CoordinateWith.Me, you need to generate a secure Client ID and Client Secret.

Step-by-Step Credential Generation:
  1. Sign in to your CoordinateWith.Me account.
  2. Click on your profile avatar in the upper navigation bar and select My Connected Apps.
  3. Scroll down to SECTION 3: Model Context Protocol (MCP) & API.
  4. Click the Create MCP Client ID & Secret button (or Regenerate Credentials if rotating an existing key).
  5. A secure modal will appear displaying your Server URL (https://coordinatewith.me/mcp), your unique Client ID, and your newly minted Client Secret.
  6. Click the copy button next to each field and store your secret in your password manager or configuration file immediately.

Security Notice: For your security, your raw Client Secret is never stored in plaintext on our servers — only a salted cryptographic hash is retained. Once you close the creation modal, the secret cannot be retrieved. If you misplace your secret, simply click Regenerate Credentials to issue a replacement.
